DispatchHub & the DispatchHub Field app · Last updated 24 August 2026
In short. DispatchHub is field-service software sold to businesses. If you are a technician using the DispatchHub Field app, your employer decides what is collected about your work and is the owner of that data — we hold it on their behalf. We do not sell personal information, and we do not use it for advertising.
Who we are
DispatchHub ("we") provides dispatch, job management and billing software to locksmiths and other field-service businesses. Each business that uses DispatchHub (the "shop") is the controller of the data in its own account; we are its processor. If you are a customer of one of those shops, or a technician employed by one, questions about your data are best directed to that shop in the first instance.
What the Field app collects
- Account details — your name, work email, phone number and role, created by your employer so you can sign in. Sign-in uses a shop code and a PIN, or a security key.
- Location, only while you are clocked in. When you clock in and are working a dispatch, the app shares your device location with your shop so it can route work and give customers an ETA. Sharing stops when you clock out or close the app. The app shows a visible "Location visible to your employer" banner the whole time it is on. We do not use always-on background location.
- Photos and files you capture — job photos, receipts, and where your shop requires it, a photo of a customer's ID at close-out. These are attached to the job record in your shop's account.
- Signatures — customer signatures captured on the device to authorise or close out work.
- Voice recordings — if you dictate a scope of work, the audio is transcribed to text and the text is kept on the job.
- Job and timekeeping activity — status changes, notes, line items, and clock-in/clock-out times.
- Device push token — so your shop can notify you about dispatches.
- Diagnostics — errors and basic technical logs used to keep the service working.
What we do with it
We use this information to operate the service for your shop: dispatching and routing work, recording what was done, producing invoices and receipts, sending job notifications, and supporting and securing the platform. We do not sell personal information, share it with data brokers, or use it for advertising or tracking across other apps and websites.
Who it is shared with
- Your shop. Technician activity, including location while clocked in, is visible to the business you work for.
- Service providers we use to run the platform — hosting, push notification delivery, SMS and email delivery, payment processing, mapping and address verification, and document/identity verification where a shop enables it. They may process data only to provide those services to us.
- When the law requires it, or to protect the safety, rights or property of users, the public or ourselves.
How long it is kept
Job, billing and timekeeping records are retained for as long as your shop's account is active, and afterwards where we are required to keep them for tax, legal or accounting reasons. Files shared through the in-app File Drop are deleted automatically after seven days. A shop can ask us to delete its account data, subject to those legal retention obligations.
Security
Each shop's data is held in its own isolated database schema. Access is restricted to authenticated staff of that shop under role-based permissions, connections are encrypted in transit, and manager-level actions are logged. No system is perfectly secure, but we take reasonable measures to protect the information we hold.
Your choices
- You can turn off location permission for the app in your device settings. Your shop may require it for dispatching, so this is worth discussing with them first.
- You can turn off camera, microphone or notification permissions the same way; the features that depend on them will stop working.
- Depending on where you live you may have rights to access, correct, or delete personal information about you. Contact your shop, or us at the address below, and we will help.
Children
DispatchHub is a workplace tool. It is not directed at children and we do not knowingly collect information from anyone under 16.
Changes
If we change this policy we will update the date at the top of this page, and for significant changes we will notify shops through the application.
