DispatchHub

Every step of the job, in one place.

Most shops run on four or five programs and a stack of sticky notes. DispatchHub replaces them with one record per customer and one flow per job.

Calls & leads

Every call becomes a lead.

Caller ID shows which customer is on the line before you pick up. Calls are recorded, transcribed live and summarized, right on the customer's record.

  • An AI summary of every call, ready when you hang up
  • Turn a lead into a job without retyping anything
  • After hours, your Virtual Receptionist answers in your shop's voice, takes the lead and can reach the on-call tech
  • Two-way texting and a shared inbox, all on the customer's timeline
Dispatch

The right tech, every time.

The board, the live map and the calendar show every job and every tech. Suggestions rank techs and time windows by workload and drive time.

  • No job goes out without a card hold, approved credit or a manager's override
  • Work authorization by text link: the customer signs and the hold is placed
  • One-screen lockouts: find the customer, verify their identity, price the call by distance
  • Masked calling and in-app chat, so customers and techs never swap personal numbers
The tech app

Work the job in the field, even without signal.

Start My Day, the schedule, parts and labor, photos, the time clock and messages. "Cache the day" loads every job ahead of time and syncs each step when signal comes back.

  • Parts and labor go on the ticket as the tech works
  • The customer signs on the tech's phone, with the total shown first
  • Scope of work dictated and cleaned up by AI
  • Station mode for rugged tablets: glove mode and sunlight contrast
Review & billing

Approved, invoiced and paid the same day.

Finished work lands in a review queue. The office checks parts and hours, then approves it or sends it back. Nothing is billed until it's approved.

  • One total, tax included, in the email, the PDF, the pay link and the balance
  • Card, Apple Pay and Google Pay, card on file, pay links and partial refunds
  • Sales tax by destination ZIP; labor is never taxed
  • Deposit checks with a phone camera; vendor bills read themselves
Point of sale

A counter that knows your customers.

A register tied to the same records: account terms, credit limits, stock and bin locations, on-account sales that invoice themselves, and paying existing invoices at the counter.

  • Restricted keys sold only to buyers the account authorized
  • ID scanned and matched to the authorized name
  • Credit limits that actually hold, with manager override on record
  • A customer-facing display, cash drawer and receipt printer
Inventory, purchasing & quotes

From supplier quote, to shelf, to quote.

Products with variants by finish, function and keyway. Stock by bin, location and van. Upload a supplier quote and it becomes a purchase order.

  • Receiving matched line by line, and a three-way match creates the bill
  • Quotes priced by trip distance plus labor, e-signed from a link
  • An accepted quote becomes a job with one click
  • Label designer that prints to a Zebra printer
Customers & the portal

Know exactly who you're working for.

Every customer carries their addresses, contacts, identity checks, key systems, jobs and every message ever sent. And every customer gets a portal that needs no password.

  • Identity checks at intake: address match, ID plus selfie by text, or a phone check
  • Duplicate prevention that catches near-matches before a second record exists
  • An encrypted vault for safe combinations and alarm codes, with every look logged
  • The portal shows balances, invoices, key systems and payment methods
Smart locks

Your brand on your customer's phone.

Issue and revoke door codes per person across Lockly, Schlage, Yale and more, from one panel. Customers manage their own doors under your shop's name and color.

  • Shows the real state of each door, not just "sent"
  • Customers can manage their own doors in the portal
  • Every action lands in your activity log
Knowledge base

Your shop's answers, in one place.

Hours, prices, service area and policies, learned from your own calls and approved by you. It trains new staff and powers your Virtual Receptionist, so every caller hears the same right answer.

  • Suggests facts your team keeps repeating on calls
  • Nothing is used until you approve it
  • Trip charges priced by driving distance from your shop
And the rest of the shop

The parts other systems sell separately.

E-signatures, sealed

E-sign on authorizations, quotes and pickups. Each shop gets its own certificate authority, and signed PDFs show as valid in Acrobat.

ID cards

A drag-and-drop badge designer with photos, QR codes and barcodes. Customers submit rosters online and see the real card as they type.

Time clock & payroll prep

Clock in from the tech app or a kiosk. Approve and lock pay periods, then export to your payroll provider.

Commercial & government work

Work orders with not-to-exceed amounts, government rate sheets, and accounts that never get automated texts.

Your brand, everywhere

Your shop's name, logo and colors in the office, the portal, emails and PDFs, on your own domain if you want.

Buy by the module

A module that's off is truly off: hidden from the menus and refused by the server. Turn it on later and your data is already there.

Master keying that checks its own work.

Field-service software doesn't do master keying, and key-control software doesn't do dispatch. KeyHub designs the system, pins every cylinder and flags any key that would open a door it shouldn't. Run it on its own, or inside DispatchHub.

Secondsto build a full system

A builder that won't hand you a bad key

Submasters and change keys from the master, one-step or two-step. Sibling keys stay at least two cuts apart by default.

Pinning, drawn to scale

Real pin lengths for every cylinder, with a pin chart for every door and stacking rules from the manufacturer.

Restricted keyways, enforced

Named authorized buyers per customer, ID scanned at the counter, and one office-wide log of every restricted sale.

SFIC and control keys

Interchangeable cores with stack heights checked and control keys generated, the same way as every other system.

Medeco rotation

One angle code per chamber across the system, with angle-pair rules applied to every cut.

Your existing systems

Paste a system from a spreadsheet and KeyHub checks it, so the keys you already cut are on record too.

Questions

Good questions.

How does the "free" DispatchHub subscription work?

Each card payment you take through DispatchHub carries a 1% DispatchHub fee, and that fee is credited against your $149 monthly subscription. If your card volume tops about $14,900 in a month, the credit covers the whole subscription. Below that, you pay only the difference.

Is there a free trial?

Yes. Every new shop gets 14 days free, with nothing billed until the trial ends.

Can I start with KeyHub and add the rest later?

Yes. DispatchHub is built from modules. Start with key management alone, then turn on dispatch, billing or the counter when you're ready. Your customers and key systems are already there; nothing is migrated.

Can you bring over my data from my current system?

DispatchHub already runs a working locksmith shop, including about 2,770 customers moved from a legacy system without creating duplicates. Tell us what you use today and we'll talk through moving yours.

Does the tech app work without cell signal?

Yes. The tech app loads the whole day's jobs ahead of time and saves every step on the device, then syncs as soon as signal comes back.

Will my customers see my brand or yours?

Yours. Your shop's name, logo and colors appear in the office, the customer portal, emails, PDFs and the smart-lock panel, and the portal can run on your own domain.

Can I try it before I sign up?

Yes. The live demo is a real DispatchHub shop with sample data that anyone can use. It resets every 6 hours, and nothing you do there sends real texts, emails or charges.
